Position: Commercial Finance Assistant

Location: Oxford Airport

/ Salary: £23,000 – £25,000 – Dependent on experience

The Commercial Finance Assistants key responsibilities are to provide invoicing and financial reporting assistance to the commercial department, acting as a local point of accounting support for both Oxford staff and the accounting department at Farnborough along with providing additional overall support to the Oxford Commercial Department.

Reporting:

Reporting directly to the Commercial Manager at Oxford.

Commercial and Financial Responsibilities:

  • Promptly raising Envision work order invoices
  • Monthly aircraft maintenance contract fixed price invoicing
  • Manage and recharge monthly aircraft parking invoices
    • Fixed parking charges
    • Ad hoc parking invoicing each month
  • Warranty and support programmes claims and administration
    • Textron Pro Parts, Pro Advantage / Beechcraft – Warranty and Support Plus
    • Honeywell Engines and APU – MSP
    • Bombardier – Smart Parts
    • GE Engines – On Point
    • JSSI
    • Rolls Royce Engines Corporate Care
  • Review and reporting of Work Order performance and profitability before posting of the WO invoice
  • Maintaining and issuing weekly / monthly invoicing status reports
  • Ensure processes and procedures are in place to allow the seamless capture of all engineers’ expenses and third party service costs within the company computer system Envision
  • Forward supplier invoices received in Oxford to Farnborough.
  • Manage the credit card, petty cash, floats, personal expenses and mileage claims for all Oxford Engineering Part 145 staff to cover:
    • Distribution of credit card statements, ensuring timely and complete returns
    • Receipt of personal expenses, authorisation and checking in line with company limits
    • Management of engineers floats, comprehensive recording of amounts provided and returned, along with managing outstanding balances and ensuring returns are made and that excess balances are not held
    • Ensure all items are clearly coded with relevant work orders or overhead approval, and develop procedures to capture all rechargeable costs
  • Local payroll reporting:
    • Overtime
    • Pay adjustments
  • Provide a point of contact for Oxford staff for all financial support required, supported by colleagues at Farnborough if required
  • Awareness of the Oxford Budget and analyse the monthly P&L for areas of potential saving or efficiency, liaison with the GAEL Management Account as required
  • Contract Change Order Generation and liaison with clients as directed by the Commercial Manager
  • Assist the Commercial Assistant and Commercial Manager to reduce the time from request for estimate to issuing an estimate by assisting in the creation and upkeep of itemised Estimating Data Base
  • Progressively take on more involved aspects of the commercial department through assisting and covering for colleagues
  • Work with the Commercial Manager to understand and ultimately take on invoicing of the Oxford AMT Kennington site and any other appropriate commercial functions
  • Any other reasonable duties as requested by the Commercial Manager Oxford

 

Skills and Attributes:

  • Proficient in Microsoft office primarily excel and word
  • Must be familiar with using computer systems, cost capture, raising invoices, generating financial performance reports
  • Able to work as part of a team and individually under their own initiative
  • Prioritising and organising workload and working to deadlines
  • Quick to learn with good communication skills both verbal and written
  • Experience in Aviation Aircraft Maintenance finance a distinct advantage
  • Experience of the Envision computer system a distinct advantage

 

Hours: This is a full-time role (40 hours per week), offered on a permanent basis.

Salary: £23,000 – £25,000 – Dependent on experience
